Free call
Thirty minutes. Tell us what eats the office week. No deck, no slides, and you talk to the person who’d do the work.
No fit? You’ll hear that on this call.
An Intuit study of growing businesses found that more than half a full-time job goes to manual data entry, plus $36,000 a year overspent on unused software.1 It hides in quoting, scheduling, invoicing, and the chasing in between.2

We count where the time goes, fix only what you need fixed, and you choose: take the controls or keep us around.
Straight answer. No pitch deck. You’ll talk to the person doing the work.

The process
Nothing gets built until something has been counted. That order is the whole method.
Thirty minutes. Tell us what eats the office week. No deck, no slides, and you talk to the person who’d do the work.
No fit? You’ll hear that on this call.
Fixed fee, quoted up front. About two weeks. We interview across the whole chain, watch a busy day, then check every claim against exports and timestamps.
Said vs counted. You keep the analysis either way.
We start at the cheapest rung that solves it and only move up if we have to. Fixed scope and fixed price. If nothing clears the bar, we say so instead of finding you a project.
Most findings land on rung one or two.
Same numbers, ninety days later. Everything documented so your own people can run it. We don’t build things only we can touch.
No baseline, no claim. That’s the rule.
The payoff
AI where it helps. Automation where it works. Better systems underneath it all.
So your team spends less time chasing work, customers get answers faster, and growth creates opportunity, not more admin.
Quoting, scheduling, invoicing, and reporting stay in sync, so everyone works from the same numbers.
Repetitive work runs automatically, turning hours of admin into minutes of review.
We connect and improve the systems you already pay for before adding something new.
Follow-ups, reminders, handoffs, and paperwork keep moving even when nobody is at a desk.
Requests get routed, quotes go out sooner, and fewer opportunities die in the inbox.
Handle more customers and more work without adding overhead at the same pace.
The team
Fifteen years across four domains.
A drone operation across North America serving US critical infrastructure: pilots, crews, scheduling, quality, budgets, and the daily reality that a process only counts if fifty people can execute it on a bad day in bad weather.
AI and SaaS into Fortune 100 and billion-dollar private companies. The lesson most vendors miss: whether the software works is rarely what decides anything. Workflow fit, data quality, who owns what, and whether the people can absorb the change decide it.
Leadership, problem-solving, and process implementation where plans had to survive contact with real conditions and real people.
Built and ran our own businesses: payroll, cash flow, customer concentration, and what it feels like when demand outruns the operation underneath it.
That’s the whole basis for how Rayven works. Don’t start with the technology. Find out how the work actually happens first.
FAQ
Because free discovery isn’t free. It’s paid for by the build that follows it. A shop that only makes money when it builds something will find something to build. That’s not dishonesty, it’s arithmetic.
The diagnostic costs a fraction of a wrong build. If it tells you to spend nothing, it just paid for itself several times over.
Then we write that down, show you the arithmetic behind it, and you’ve got a documented answer instead of a nagging feeling. That’s a legitimate outcome and it happens.
You still keep every record we collected, including the baseline numbers, which is what makes it possible to check again in a year.
Usually not. The most common finding is that the software you already pay for is doing a fraction of what it was bought to do, because it was set up in a hurry three years ago and nobody has touched the settings since.
We don’t resell anything and we don’t take referral fees from vendors, so there’s nothing pushing the recommendation one way.
Interviews are short and we come to you. The observation day means somebody sits quietly and watches how a busy day actually runs. Not a performance, the real thing.
We tell everybody up front that we’re not evaluating anyone’s performance. That has to be true or the whole exercise produces polite fiction instead of information.
You own it. The documentation, the logins, the records, the reasoning behind every decision. If we build something, it gets handed over in a state your own people can maintain.
We don’t build systems only we can touch. You should be able to fire us and lose nothing but us.
Sometimes, at the end, where it earns its place. Most of what we find gets fixed by deleting a step, connecting two systems, or configuring something properly. None of which needs AI.
Automating a process that shouldn’t exist just makes it permanent and faster.
Less about headcount than about whether the business still fits in one person’s head. Once work is passing between several people and more than one system, there’s something to find. Below that, the owner already knows everything a diagnostic would tell them.
If that’s you, say so on the call and we’ll tell you to wait.
That’s what Rayven builds. Tell us where the office work is eating the week, and you’ll get a direct answer on whether it is worth going further.
